Constellations Fitness Terms & Conditions
Effective 01/05/2025. We reserve the right to make changes to these Terms & Conditions at any time
1. Booking & Payment
1.1 Classes can only be booked on receipt of payment
1.2 Classes are booked on a first come first booked basis no matter what package has been booked. When the classes are full a waiting list system will go into place. However, if you have a Membership and know you want a place in the same class(es) each week, you can utilise the Recurring Reservations function in TeamUp. This can be arranged by emailing hello@constellationsfitness.com.
1.3 Group Classes
-Must be booked and paid for in advance using TeamUp via either
A Level 1 Pole Fitness Course (6 weeks)
A single class registration
A class pack credit
A membership with monthly recurring payment
1.4 Privates & Semi-Privates
-Must be booked and paid for in advance using the instructions within TeamUp.
2. Customer Cancellations
2.1 Cancellations should be made within your TeamUp account. If you experience issues managing your booking here, then you can email hello@constellationsfitness.com.
2.2 Level 1 Courses – Before Commencement
We can only refund/transfer Level 1 courses that are canceled by the attendee more than 24 hours before the start date.
2.3 Level 1 Courses – After Commencement
Once the course has started we will not refund or transfer either the course, or any missed or unused lessons in any circumstance – if you do not attend you have forfeited your lesson(s)
Please still do inform us as soon as you know you will be missing a class from your course so we know who to expect.
2.4 Single Session Registrations
You must give at least 24 hours notice if you cannot attend your lesson and wish to cancel or reschedule. After this you will forfeit your session. No refunds or transfers are available for unused lessons.
2.5 Privates & Semi Privates
You must give at least 24 hours notice if you cannot attend your lesson and wish to cancel or reschedule. After this you will forfeit your session. No refunds or transfers are available for unused lessons.
2 packs of privates have a 6 week validity period – it is your responsibility to ensure you use both of your sessions within this timeframe.
2.6 Class Packs
Classes canceled with 24 hours notice will be returned to your pack and can be rebooked to be used before the pack expires.
Classes canceled outside of this window will be forfeited.
2.7 Self Practice
Classes canceled with 24 hours notice will be returned to your pack and can be rebooked before the pack expires.
Classes canceled outside of this window will be forfeited.
Please note that attendance at Self Practice is subject to agreement with the Self Practice Code of Conduct and that we reserve the right to exclude anyone that does not comply with this.
2.8 Memberships by monthly recurring payment
Please see section 3 below for all relevant T&Cs
3. Memberships by monthly recurring payment
3.1. Bill on the 1st of every month for the full monthly amount and will bill a prorata’d amount for the remainder of that month if purchased mid-month.
3.2 Reset on the 1st of each month with NO rollovers for unused credits.
3.3 Class price calculations and affordability are based on us operating to a 48 week year, allowing up to 4 weeks off for Christmas and other occasions (e.g. to allow for studio maintenance). For this reason you will not receive credits nor be permitted to pause a membership during these breaks.
3.4 Memberships and their class allowance are calculated over a 12 month period as opposed to every 4 weeks. This results in 12 rather than 13 payments per year and means you will pay the same amount every month, regardless of how many days (lessons) in that month and of whether there is a studio closure.
3.5 If you cannot use up your class allowance within the same week, you lose this class credit (no rollovers are permitted from week to week).
3.6 If you don’t think you can consistently use up the class allowance every week, then you are advised to consider our class pack option instead which allows more flexibility.
3.7 Memberships must be canceled or downgraded a minimum of 30 days before the next payment. Failure to give this notice will result in the next payment being due. E.g. if you request cancellation on 3rd April, 30 days takes you past the May billing date and means you will still be billed on 1st May and that your membership will remain active until 31st May. Cancellations must be made in writing to hello@constellationsfitness.com and an acknowledgement email must be received.
3.8 Upgrades: Membership type can be upgraded at any point by emailing hello@constellationsfitness.com. Please await an acknowledgement email to confirm your upgrade request has been actioned.
3.9 Holidays – If you have a planned holiday, as long as it is requested and agreed in writing with hello@constellationsfitness.com with a minimum of 14 days notice, you can use the class allowance at any other time during that same month’s billing cycle. Alternatively (again, if requested and agreed in writing with hello@constellationsfitness.com with a minimum of 14 days notice) a maximum of 2 classes with a Silver membership or 3 classes with a Gold membership can be carried over to the next billing cycle, for a maximum of 2 weeks per year, (this is based on remaining on the same membership level).
3.10 Holds for Gold Members: Gold members may be granted (if requested and agreed in writing with hello@constellationsfitness.com with a minimum of 14 days notice) up to 6 weeks of Membership hold in each 12 month period. This excludes the month of December and studio break weeks.
3.11 Minimum Gold Membership Term: Gold Memberships are subject to a minimum term of 3 months (3 billing cycles).
3.12 No Benefit Transfers: Gold Members cannot transfer their discount on privates or free quarterly in house workshop to any other student.
3.13 Guest Passes: Any guest passes issued by Gold Members can be used only by new students who have not booked any previous classes with us. They must book using your code but via their own TeamUp account so that we have the required PAR-Q and informed consent docs for them.
4.0 Studio Cancellations
4.1 There are minimum student numbers required for a class to run. We will do our best to fill the class, but if minimum numbers are not met, your booking will be canceled and you will be offered the opportunity to transfer your booking to an alternative class, or to receive an account credit.
4.2 There may be occasions due to instructor illness or holiday where your class will need to be covered by another instructor, merged with another class, held on a different day, or canceled entirely. We will do our best to ensure we can still offer you a class, but where this is not possible, you will receive notice of the cancellation as early as possible and will receive a class credit for the value of that lesson.
5.0 Who Can attend?
5.1 All students must complete a PAR-Q form prior to their first class and unfortunately certain health conditions may prohibit you from taking part safely, while others may require permission from your doctor. (Please note that TeamUp will not let you register for any classes until this is complete)
5.2 You are responsible for keeping us informed about your health and fitness, so please let us know before your lesson if anything has changed (e.g you are injured) or your form needs updating. Please see our GDPR privacy policy for more details on what information we collect and how it is used.
5.3 Unfortunately most of our classes are not suitable for pregnant women. Sophie has the required certification, so her classes may be suitable dependent on your prior pole experience and on whether you have any contraindications. Please email hello@constellationsfitness.com to discuss your individual circumstances.
5.4 Our adult classes are available to those over the age of 18. If you are aged 16+ you can attend, but only with a signed consent form from your parent/guardian -parents can add a family member to their TeamUp account to make bookings on their behalf. Please get in touch if you need further assistance with this.
5.5 We do not permit spectators – it may make other students feel uncomfortable.
6.0 Exclusions
6.1 We take no responsibility for loss or damage to your personal belongings while on studio premises
6.2 We reserve the right to temporarily or permanently exclude anyone not acting in accordance with:
